Traditionally, this was a paper-heavy process—but since July 2015, landlords have had access to Rental Bonds Online (RBO), a secure digital portal introduced by NSW Fair Trading.

What Is Rental Bonds Online?

Rental Bonds Online is an internet-based service that lets both landlords and tenants:

  • Lodge bonds electronically
  • Manage bond details
  • Refund bond payments directly to a bank account

Instead of signatures on forms, RBO uses secure verification like SMS codes. For landlords, it means less paperwork. For tenants, it means faster refunds and complete visibility of their bond status.

How Landlords Register

To use the service, private landlords must register with NSW Fair Trading. This involves:

  1. Completing a Proof of Identity and Registration Form.
  2. Providing three identity documents, such as:
    • A driver’s licence or passport (mandatory primary document)
    • Plus two others like a council rates notice, Medicare card, or debit/credit card.
  3. Lodging these either in person at a Service NSW Centre or by emailing certified copies.

Once approved, you’ll receive an email with a unique code and instructions for activating your RBO account.

Inviting Your Tenant to Join

Landlords must confirm their tenants are comfortable using the system. If they agree:

  • Provide the tenant’s email in the portal.
  • The tenant will receive an automated email to create their RBO account and pay the bond.
  • Bonds can be paid via Visa, MasterCard, or BPAY.

Tenants also need to enter their Australian bank account details so refunds can be processed quickly when the lease ends.

Special Cases: Co-Tenants

If multiple tenants are on the lease, NSW Fair Trading recommends nominating a “Principal Tenant.”

  • This person pays the bond online.
  • They enter the contact details of co-tenants.
  • They handle distributing refunds if needed.

This helps avoid disputes later and keeps everything clear and centralised.
