Like most corporations, an owners corporation can only make decisions by passing resolutions at either a general meeting or a strata committee meeting. Understanding the different types of meetings is crucial for every strata owner or resident.
The Different Types of Meetings
- First Annual General Meeting (AGM)
- Annual General Meetings (AGM)
- Extraordinary General Meetings (EGM)
- Strata Committee Meetings
The First Annual General Meeting
The original owner must hold the first AGM within 2 months of the end of the initial period—that is, when one-third of the total unit entitlements have been sold.
The notice of the first AGM must be served on each owner and each first mortgagee and covenant chargee shown on the strata roll. This notice must be given at least 14 days before the meeting date.
Annual General Meetings
After the first AGM, subsequent AGMs must be held every 11 to 13 months. A notice of a general meeting must be sent to all owners on the strata roll at least 7 days before the meeting.
Voting at General Meetings
You are entitled to vote at a general meeting if you are:
- A company nominee of a corporation shown on the strata roll
- An appointed proxy
- An owner, mortgagee or covenant chargee of a lot shown on the strata roll
To vote, you must also be financial as at the date the notice was sent out. This means all levies, special levies, penalty interest and debt collection costs must be fully paid.
Quorum Requirements
A quorum is required before any motion can be voted on. A quorum is either:
- One-quarter of the people entitled to vote, or
- Owners entitled to vote holding one-quarter or more of the total unit entitlements
If a quorum is not present within 30 minutes of the scheduled start time, the meeting must be adjourned for at least 7 days. The Chairperson presiding sets the new date and time.
How to Call a General Meeting or Add an Agenda Item
A general meeting may be called if:
- Lot owners with at least one-quarter of the total unit entitlements request it in writing, or
- The strata committee passes a majority vote to hold one
Any person entitled to vote can request a motion to be added to the agenda by giving written notice to the secretary. The secretary must then include the motion on the agenda for the next general meeting.

Active involvement helps foster a harmonious environment for residents while protecting and enhancing the value of the property.
